What we collect, why, who sees it and how to ask us about it.

Who we are
Zerbot (“we”) licenses restaurant software through authorised partners. For the data described below, we are the controller. Contact: hello@zerbot.com.
What we collect, and why
Visitors to this website
This public website sets no cookies and has no analytics or advertising trackers. Our servers keep ordinary access logs (address, time, page) for security and to keep the site running.
People who apply to become a partner
Name, company, country, city, phone, email, how you sell, your territory, experience and expected volume, and anything you write. We use it to assess your application and to contact you. If you are approved we also hold your company and tax details, your documents (for identity and business verification) and a record of your credits, invoices and activity. Your documents are kept in secure storage, not in our application database.
Restaurant customers, registered by their partner
Every licence is registered with us by the authorised partner who sells it. The partner gives us: the business name, outlet addresses, the owner’s name, phone and email, country, tax registration number and preferred language. We use this to provide and support the licence, to send activation codes and renewal reminders, to issue records the law requires and to keep our service secure. The licence, the data and the support relationship belong to the registration with Zerbot, so that nothing is lost if a partner stops trading.
Partners are required to have the customer’s agreement to share these details with us. Customer contact details are exported only by a small number of Zerbot staff, each export is logged with a reason, and partners see only their own customers.
The restaurant’s own business data
Orders, menus, staff and customer records that a restaurant keeps in the Zerbot apps belong to that restaurant. We process them only to run the service for them. They can export them at any time.
Who we share it with
- The partner who sold the licence (their own customers only).
- Payment providers, to take payment for credits.
- Email and hosting providers that process data for us under contract.
- Authorities, where the law requires it.
We do not sell personal data.
Where it is kept and for how long
Data is held on servers we control. Records the law requires (invoices, tax records) are kept for the period the law sets. Other data is kept while a licence or partnership is active and for a reasonable period afterwards, then deleted or made anonymous.
Your rights
You may ask to see, correct, export or delete the personal data we hold about you, or object to how we use it, subject to what the law requires us to keep. Write to hello@zerbot.com. If you are not satisfied, you may complain to your data protection authority.
Cookies
This public website does not use cookies. The partner portal, for signed-in partners only, uses one essential session cookie to keep you signed in. It is not used for tracking, and there is nothing to accept or decline. If we ever add anything else we will ask you first.
Changes
If we change this policy we will update the date above and, for material changes, tell partners by email.
